A leader in their field, they are New Zealand’s largest business organisation and part of the New Zealand Chambers of Commerce network. My client is looking for an Executive Assistant to provide support with scheduling meetings, all correspondence and communication from the Chief Executive’s office, ensuring a coordinated approach in all project management, board management, and compliance requirements

The opportunity: 

This is an unmissable opportunity for a strong EA to support the Chief Executive. This is a permanent opportunity with normal office hours. 

The role, in a nut shell:

  • Board papers are collated, edited and distributed in a timely manner
  • Maintain an effective electronic filing system enabling quick and effective access to information – particularly managing the Chief Executives filing system
  • To prepare the Chief Executive for all internal/external meetings i.e. researching organization/individuals, briefing on opportunities or meeting purpose to ensure maximum use of time and meeting outcomes for organisation where needed.
  • Using your proficient Microsoft Office (Word, Excel, Ppt) skills to format documents and presentations when needed
  • To coordinate the Chief Executive’s diary management, and ensure contacts are entered into CRM system
  • Prepare all meeting paperwork
  • Minute all board meetings, seek review from Chair and Chief Executive and distribute to board accordingly
  • Travel arrangements are coordinated in such way that any disruptions are minimised
  • Opportunities to leverage efficiencies of time management for the Chief Executive are maximised

 To be successful in this role: 

  • Previous EA experience, minimum 3x years
  • Microsoft Office environment – intermediate Outlook, Word, Excel, PowerPoint
  • You will have worked in a Senior role and will preferably have end to end experience working in Project Management
  • Exposure to a range of sectors will also be valuable
  • NZ driver’s licence
  • NZ Citizenship or residency 
  • Your tertiary qualification would likely be in business or arts, with a focus on people. We are prepared to consider other qualifications
  • Can work methodically under pressure and with multiple tasks and deadlines
  • Fantastic time management
