We are seeking an experienced Team Administrator to work for a Mental Health facility based in Pt Chevalier. This is a busy and rewarding role supporting our multidisciplinary teams and ensuring smooth daily operations across the site.

You will join an admin team of three, providing essential support across the service. This varied role requires someone who is highly organised, confident managing competing priorities, and comfortable working in a fast-paced mental health environment.

Responsibilities include:

  • Providing cover for a very busy reception area, including managing multiple visitors, couriers, deliveries, room bookings, and hot-desk coordination
  • Delivering comprehensive administrative support to staff and the leadership team, including three SMOs
  • Coordinating facilities, repairs, maintenance, invoicing, and deliveries for a large and aging site
  • Managing Mental Health Act processes, including coordination for two weekly court days involving judges, security, external clinicians, lawyers, and whaiora
  • Supporting and coordinating directorate-wide meetings and trainings
  • Managing a large petty cash float
  • Minute-taking for local and directorate-wide meetings
  • Supporting and helping coordinate whaiora-centred events, including cultural celebration days

The Successful Candidate will have:

  • Strong administrative experience in a mental health or healthcare environment
  • Proficiency using HCC required
  • Excellent communication and organisational skills
  • Ability to stay calm and professional under pressure
  • A compassionate and culturally responsive approach when working with whaiora and whānau
