We are looking for an experienced and highly capable Executive Assistant to support a Senior Leader in a busy, purpose-driven organisation.

This is a trusted and highly visible role, providing high-level executive support and helping the senior leader operate effectively across a broad range of priorities. You will be someone who is confident working with senior stakeholders, can anticipate what is needed before being asked, and brings exceptional organisation, discretion and attention to detail.

This is an opportunity for an experienced EA who enjoys being at the centre of an organisation, working closely with the CEO, Executive team and Board.

This is a full time, office-based role in Epsom, Auckland, with potential for one work-from-home day per week

What you’ll be responsible for

  • Providing proactive, high-level executive and administrative support 
  • Managing a complex and changing diary, including meetings, appointments and competing priorities
  • Coordinating meetings and ensuring the executive is well prepared with the right information and materials
  • Working closely with Executive team members and senior stakeholders to coordinate priorities and actions
  • Supporting Board and governance processes, including preparing meeting papers, agendas and minutes
  • Attending Board and Executive meetings and accurately recording and distributing minutes and actions
  • Coordinating follow-ups and ensuring agreed actions are tracked through to completion
  • Managing confidential and sensitive information with absolute discretion
  • Assisting with projects, events and organisational initiatives as required
  • Building strong working relationships with internal and external stakeholders

About you

You will be an experienced Executive Assistant who is comfortable operating at a senior level and understands what it takes to support a senior leader effectively.

You will ideally bring:

  • Previous experience supporting a CEO, Chief Executive or senior executive
  • Experience working with Boards, governance processes and/or senior leadership teams
  • Experience taking accurate minutes for Board, Executive or other senior-level meetings
  • Exceptional organisational and time-management skills
  • Excellent written and verbal communication skills
  • Strong attention to detail and the ability to produce high-quality work
  • The ability to anticipate needs, manage competing priorities and stay calm under pressure
  • Sound judgement and a high level of discretion when handling confidential information
  • Confidence dealing with senior stakeholders and representing the CEO professionally
  • A proactive, solutions-focused approach — you see what needs to be done and get on with it
  • Strong capability across Microsoft Office, particularly Outlook, Word and PowerPoint
  • Most importantly, you will be someone who takes ownership, builds trust and makes life easier for the person you support.
