Reporting directly to the Chief Executive, you will provide strategic administrative and executive support that enables effective leadership across the organisation. As a trusted partner, you will oversee executive coordination, facilitate governance processes, and ensure the smooth operation of key organisational activities.

A significant aspect of this position is supporting the governance functions of the board. You will be responsible for planning governance calendars, coordinating board and committee meetings, preparing high-quality documentation, recording accurate minutes, monitoring actions, and ensuring governance obligations are delivered efficiently and professionally.

Working closely with the executive leadership team, trustees and board members, you will anticipate priorities, manage competing demands, coordinate strategic meetings and events, and maintain effective communication across a wide range of internal and external stakeholders.

This position is well suited to someone who demonstrates initiative, exercises sound judgement, handles confidential information with integrity, and is committed to working within a kaupapa Māori environment.

Key Responsibilities:

  • Delivering comprehensive executive support. 
  • Coordinating board, committee and trust governance activities from planning through to follow-up.
  • Preparing agendas, reports, board papers and meeting documentation to a consistently high standard.
  • Recording meeting minutes and monitoring governance actions to completion.
  • Managing executive calendars, correspondence and complex scheduling requirements.
  • Organising organisational events, strategic hui and stakeholder engagements.

About You

To succeed in this role, you will bring:

  • Extensive experience providing executive-level administrative support within a senior leadership environment.
  • Demonstrated success supporting boards, committees or governance groups through effective secretariat services.
  • Outstanding organisational and time management skills with the ability to manage multiple priorities.
  • Excellent written communication skills and meticulous attention to detail.
  • Strong interpersonal skills with the confidence to engage professionally with executives, governance members and stakeholders.
  • Advanced capability across the Microsoft Office suite, including Outlook, Word, Excel and PowerPoint.
  • A proactive mindset with the ability to anticipate needs, solve problems and work independently.
  • High levels of discretion, professionalism and personal integrity.
  • A current full New Zealand Driver Licence.
