We are looking for a highly organised, confident and relationship-focused Programme Coordinator / Outsourcing Coordinator & Advisor to support the coordination and delivery of outsourced planned care across the Northern Region. This is a full time, temporary role for the next 12 months, based in Takapuna. We are also open to those who would prefer to work 4 days per week once they have settled into the role. 

This is an excellent opportunity for someone who thrives in a complex environment, can bring structure to multiple moving parts, and is comfortable working across a large organisation with a range of internal and external stakeholders.

A health-sector background would be advantageous, but is not essential. What matters most is strong coordination experience, excellent communication skills, attention to detail, and the ability to understand and work with data and reporting without needing to be a data analyst.

About the role

You will be responsible for maintaining a coordinated view of outsourced planned care delivery across the Northern Region and will act as a key point of contact between districts, providers and procurement.

You will ensure requests are accurately tracked, information is followed through, risks and issues are identified early, and everyone has a clear view of what is happening and what needs to happen next.

The role will involve:

  • Maintaining a single regional source of truth for outsourced activity.
  • Tracking requests between the region and procurement and checking information for accuracy.
  • Monitoring outsourced activity against Statements of Work (SOWs) and agreed commitments.
  • Coordinating day-to-day outsourcing correspondence and documenting outcomes.
  • Identifying and escalating material delivery risks and operational issues early.
  • Gathering feedback from districts regarding provider performance and ensuring this is captured and shared with procurement.
  • Supporting procurement contract and provider review processes.
  • Maintaining an issues and opportunities register for regular meetings with procurement.
  • Providing accurate and timely reporting to the planned care analyst and feeding information into relevant performance meetings.
  • Maintaining a forward-looking Northern Region outsourcing backlog to support future planning.
  • Coordinating quarterly outsourcing volume requests and feedback.
  • Documenting and standardising core outsourcing processes.
  • Identifying opportunities to reduce duplication, improve processes and strengthen ways of working.

What we're looking for

You will be a confident and personable coordinator who can build relationships quickly and communicate effectively with people at all levels.

You will ideally bring:

  • Experience working in a large, complex organisation, ideally within health, planned care, government, procurement or a similar environment.
  • Excellent written and verbal communication skills.
  • Proven ability to coordinate and track multiple requests, actions and deliverables.
  • Strong attention to detail and a high level of accuracy.
  • Confidence working with data and performance information — you don't need to be an analyst, but you do need to understand data and what it is telling you.
  • Advanced Microsoft Office skills, particularly Excel.
  • Strong reporting and information management skills.
  • The confidence to engage with senior leaders and stakeholders across both public and private organisations.
  • The ability to ask questions, obtain information and constructively follow things through.
  • Good judgement around when to take ownership and when to appropriately escalate.
  • Initiative and a practical, solutions-focused approach.
  • The ability to work effectively when processes are still developing and there isn't always a rigidly defined task list.

A role for someone who likes to make things better

This is not a role where every task will be neatly defined from day one. While coordination and delivery are at its core, there will be an element of "build it as we go."

You'll have the opportunity to bring structure to processes, identify gaps, document ways of working and contribute to continuous improvement. The role may evolve as the function becomes more established.
