Our client is seeking a highly organised, proactive, and people-focused Practice Manager to oversee the day-to-day operations of their busy specialist practice. Working alongside a leading Plastic Surgeon and a dedicated clinical team, you'll play a pivotal role in delivering an exceptional experience for their patients while ensuring the smooth running of the practice.
About the Role
This is a varied and rewarding leadership position that combines operational management, patient care coordination, financial administration, and team leadership. You'll be the central point of contact, ensuring our practice continues to operate efficiently while maintaining the highest standards of professionalism, confidentiality, and patient service. This role is based in Remuera.
Key Responsibilities
As Practice Manager, you will:
- Lead the daily operations of the practice and oversee administrative workflows.
- Manage and support reception and nursing staff, fostering a positive and collaborative team culture.
- Surgical contract management.
- Coordinate patient journeys from initial enquiry through consultation, surgery, and post-operative care.
- Schedule consultations, theatre lists, anesthetists, and hospital bookings.
- Manage referrals, clinical correspondence, ACC documentation, and private insurance processes.
- Oversee financial administration, including invoicing, accounts receivable, reconciliations, and reporting.
- Manage surgeon diaries, clinic schedules, and annual calendars.
- Ensure Health & Safety compliance across the practice.
- Coordinate IT systems, website updates, and practice management software.
- Build strong relationships with patients, GPs, specialists, hospitals, insurers, and other healthcare providers.
About You
You'll be an experienced Practice Manager who enjoys taking ownership and thrives in a fast-paced specialist environment.
You'll bring:
- Previous experience managing a medical practice, ideally within a specialist or surgical setting.
- Experience with medical practice management software (Incisive experience would be a bonus, though not a must have).
- Excellent organisational and time management skills.
- Outstanding communication and interpersonal abilities.
- A strong customer service focus with genuine empathy for patients.
- High attention to detail and exceptional administrative accuracy.
- Knowledge of ACC administration, medical billing, and private insurance processes.
- Strong Microsoft Office and digital systems skills.
- The ability to work independently while leading and supporting a collaborative team.
- As this is a permanent role, you will hold NZ citizenship or NZ Residency.
