Position Description
Role Title: Senior Project Coordinator – Clinical Equipment Replacement
Contract Type: 6 months contract
Location: Based at hospital site - Waitakere Hospital
Start Date: 1 March 2026 – 31 August 2026
Role Purpose
The Senior Project Coordinator will play a key role in supporting a nationwide clinical equipment replacement programme. This role is responsible for coordinating the end-to-end logistics of equipment installations across multiple sites, ensuring clinics are prepared, engineers are scheduled, documentation is completed, and stakeholders are kept informed.
The role requires a highly organised and proactive individual who is comfortable working in fast-paced, operational environments and coordinating activities across clinical, technical, and project teams.
Key Responsibilities
Project Coordination & Logistics
· Coordinate the rollout and installation of approximately 300 items of clinical equipment across sites nationwide.
· Schedule and coordinate clinical engineers for on-site installations.
· Liaise with hospitals, clinics, and internal stakeholders to confirm readiness for installations.
· Manage travel logistics and site schedules for project resources.
· Ensure installations are completed in line with the project plan and timelines.
Stakeholder & Site Engagement
· Act as the primary point of contact for site coordinators and clinical teams.
· Ensure clinics are informed, prepared, and supported throughout the installation process.
· Resolve day-to-day issues and escalate risks or delays as required.
Documentation & Reporting
· Maintain accurate project records, forms, and installation documentation.
· Collect and manage photographic evidence of completed installations.
· Update tracking logs and project status reports.
· Ensure compliance with clinical and organisational documentation requirements.
Tools & Systems
· Use Microsoft Excel and Word for tracking, reporting, and documentation.
· Maintain registers, schedules, and installation trackers.
Key Skills & Experience
Essential
· Proven experience in a Project Coordinator or Senior Project Coordinator role.
· Strong organisational and planning skills across multiple sites and stakeholders.
· Excellent communication and stakeholder engagement skills.
· High level of attention to detail and documentation accuracy.
· Strong Microsoft Office skills (particularly Excel and Word).
· Ability to work independently and manage competing priorities.
· Comfortable working in clinical, hospital, or operational environments.
Desirable
· Experience working on healthcare or clinical projects.
· Experience coordinating technical or engineering teams.
· Exposure to equipment rollouts, infrastructure, or asset replacement programmes.
