Role: Facilities Coordinator/Duty Manager 

Type: Temporary (Part time)

Start date: ASAP

Hours: Thursday & Friday evening shift (4:30 pm to 9:30pm) and some weekends

About the Role

Our client is seeking a proactive and detail-oriented Facilities Coordinator/Duty Manager to join their Retail team. In this role, you will be instrumental in ensuring the smooth daily operations of their assets, focusing on safety, compliance, maintenance, and contractor management.

You’ll be part of a collaborative team where you’ll be encouraged to challenge the status quo, seek efficiencies, and contribute meaningfully to asset performance and customer experience. Key Responsibilities

  • Coordinate daily maintenance operations, workflows, and contractor job requests to ensure timely completion and invoicing.
  • Oversee contractor management, including inductions, compliance documentation, and performance monitoring.
  • Lead preventative maintenance activities, inspections, and service routines to maintain safety and presentation standards.
  • Support operational administration, WHS coordination, and act as a liaison between stakeholders (retailers, management, owners).
  • Manage onsite services such as cleaning and security, ensuring quality and performance outcomes.
  • Ensure compliance with regulations, oversee audits and incident tracking, and coordinate tenancy fit-outs and approvals.

What You’ll Bring

Experience:

  • Background in property/facility management and operational project delivery.

  • Strong knowledge of shopping centre operations and administration.

  • Experience with systems such as Yardi, Rapid Global, Periskope, and Microsoft Office will be plus point.

  • Proven ability to manage contractors, budgets, and operational processes.

Skills and Attributes:

  • Strong organisational skills with the ability to prioritise and meet deadlines.

  • Capable of working independently and using initiative.

  • Confident in leading during emergencies and high-pressure situations.

  • Excellent verbal and written communication skills.
