We are seeking an experienced Scheduling & Rostering Consultant to undertake a short-term review and optimisation project within a busy community services environment.
This assignment will focus on assessing current rostering, scheduling, and workforce management practices across both frontline support services and counselling operations. The successful consultant will identify opportunities to improve efficiency, strengthen compliance, enhance staff and client experience, and deliver practical recommendations for future improvements.
About the Role
Working closely with operational leaders and key stakeholders, you will conduct a comprehensive review of existing scheduling and rostering processes, evaluate current systems and workflows, and provide recommendations to support better workforce planning and service delivery.
This is a hands-on consulting assignment suited to someone with strong experience in workforce scheduling, rostering, operational process improvement, and system evaluation.
Key Responsibilities
Helpline Rostering Review (Priority Focus)
- Audit current rostering and scheduling practices
- Assess roster accuracy against contracted hours and payroll requirements
- Identify gaps, overlaps, inefficiencies, and potential cost-saving opportunities
- Review coordination of employee and volunteer scheduling
- Evaluate end-to-end rostering processes and workforce management practices
- Identify compliance risks and opportunities for improvement
Counselling Scheduling Review
- Review appointment scheduling and session management processes
- Assess booking workflows, utilisation, and operational efficiency
- Identify opportunities to improve client experience and scheduling effectiveness
- Evaluate current administrative processes and system usage
Systems Assessment & Recommendations
- Assess whether existing scheduling and rostering systems are fit for purpose
- Research and recommend alternative solutions where appropriate
- Prepare cost-benefit analysis for any proposed changes
- Consider implementation requirements, risks, and change management factors
Reporting & Recommendations
- Document current-state processes and findings
- Deliver a comprehensive written report
- Present practical recommendations and prioritised actions
- Develop an implementation roadmap to support future improvements
About You
To be successful in this assignment, you will bring:
- Demonstrated experience reviewing and optimising rostering, scheduling, or workforce planning processes
- Strong analytical and process improvement skills
- Experience assessing workforce management or scheduling systems
- Understanding of compliance considerations relating to workforce scheduling and contracted hours
- Ability to identify operational efficiencies and cost-saving opportunities
- Excellent stakeholder engagement and communication skills
- Strong report writing and presentation capabilities
- Experience within health, social services, not-for-profit, contact centre, or community services environments will be highly regarded
