Are you an experienced Health & Safety Administrator who thrives in a fast-paced environment? We have an exciting opportunity to join a large healthcare organisation based in Otahuhu, supporting Project Managers with a wide range of health and safety administration duties.
This is an office-based role working full time hours with an ASAP start, initially for 3 months, with a strong likelihood of extension for the right person.
About the Role
As the Health & Safety Administrator, you'll play a key role in ensuring health and safety systems, documentation, and compliance processes are maintained to a high standard. You'll work closely with the HSE Manager and Project Managers, helping to keep operations running smoothly while supporting a strong safety culture across the organisation.
Key Responsibilities
- Maintain and update the organisation's Health & Safety management systems and software.
- Ensure all physical and digital health and safety documentation complies with New Zealand safety standards.
- Archive historical hazard logs, incident reports, and Safety Data Sheets (SDS).
- Assist with formatting and updating Safe Work Method Statements (SWMS) and Standard Operating Procedures (SOPs).
- Verify subcontractor and visitor pre-qualification certifications.
- Monitor and track expiry dates for staff certifications, including First Aid, Site Safe Passports, and specialised operating tickets.
- Coordinate Health & Safety inductions for new employees and contractors.
- Maintain accurate training records and an up-to-date training matrix.
- Book external safety training and manage certification renewal schedules.
- Log and monitor workplace incidents, hazards, and near-miss reports.
- Prepare Health & Safety reports, data, and graphs for management meetings.
- Assist the HSE Manager with documentation relating to incident investigations.
- Order and distribute PPE and first aid supplies.
- Take meeting minutes and distribute them to the wider team.
- Coordinate workplace safety audits, vehicle log checks, and fire drills.
About You
To be successful in this role, you'll have:
- Previous experience working in Health & Safety administration (essential).
- A sound understanding of New Zealand's Health and Safety at Work Act (HSWA 2015) and WorkSafe NZ requirements (highly advantageous).
- Strong Microsoft Office skills, particularly Word, Excel and Outlook.
- Experience using Health & Safety management software or NZ safety platforms is an advantage.
- Exceptional attention to detail and a commitment to maintaining accurate records.
- Excellent communication skills with the ability to build relationships across all levels of the business.
- Strong organisational skills and the ability to juggle multiple priorities and deadlines.
