Project Coordinator

Wellington | 12-month contract | Full-time (100% utilisation) | Start date: 18 May 2026

We are seeking a capable and detail-focused Project Coordinator to join a large, complex systems programme on a 12-month contract providing parental leave cover. This role supports a busy systems portfolio environment with a strong focus on financial coordination, reporting, and administrative delivery.

The Project Coordinator will be working closely with senior stakeholders to support effective delivery across multiple workstreams in a fast-paced environment.

About the Role

In this role, you will provide essential coordination support across a systems-focused project environment, with a strong emphasis on financial administration and reporting. You will work closely with senior project and programme leaders to ensure smooth operational delivery, accurate financial tracking, and timely reporting outputs.

This role suits someone who is highly organised, proactive, and confident working across multiple priorities while maintaining strong attention to detail.

Key Responsibilities

  • Support financial management across a large systems portfolio, including cost centre tracking and reporting
  • Process invoices, purchase orders, contract administration, and journal entries
  • Collate and prepare content for fortnightly and monthly reporting cycles
  • Provide meeting support including minute taking and action tracking
  • Maintain accurate project documentation and administrative systems
  • Support reporting and coordination activities for senior project leadership
  • Work collaboratively with stakeholders across multiple teams and levels
  • Contribute to continuous improvement in project coordination processes

About You

We are looking for someone with strong coordination capability and practical experience in project environments, ideally within ICT or complex programme settings.

You will bring:

  • 5+ years’ experience in project coordination or similar roles (ideally ICT projects)
  • Demonstrated experience supporting project delivery in a public service environment (desirable)
  • Strong practical experience with project financial administration
  • Confident use of financial management information systems (FMIS)
  • Excellent written and verbal communication skills with strong attention to detail
  • Ability to build and maintain effective working relationships at all levels
  • A proactive, organised, and delivery-focused approach
  • Ability to work at pace in an agile and changing environment
  • Strong capability in Microsoft Office, particularly Word and Excel
  • A flexible, positive, and continuous improvement mindset
