Training & Recruitment Administrator

About the Role

The team at Project Plus are looking for a proactive, detail-oriented administrator to join our Wellington office. This is a varied role, heavily supporting training coordination and delivery, but also assisting with recruitment support, creating marketing material, providing accounting support, reporting, and business development. You'll get to wear a lot of hats and put your full skillset to use.

We’re looking for someone who is highly organised, comfortable managing multiple priorities, confident engaging with stakeholders, and committed to delivering an exceptional customer experience.

Key Responsibilities 

Recruitment

  • Develop and maintain a candidate pool for anticipated roles: including Business Analysts, Project Managers, and Project Coordinators. 
  • Screen and interview candidates, documenting outcomes in recruitment systems
  • Administer recruitment assessments including personality profiles and technical evaluations
  • Manage candidate engagement and communication
  • Conduct reference checks 
  • Create and post recruitment advertisements 
  • Support sourcing through LinkedIn and other professional networks
  • Assist with client engagement and market research
  • Support marketing efforts and the development of new business relationships
  • Actively participate in team meetings and share ideas for improvements

Training Coordination & Administration

  • Coordinate training logistics including scheduling courses, venues, catering, and trainer support
  • Prepare, print and assemble course materials for delivery
  • Support updates and improvements to training content
  • Act as a key contact for client training enquiries
  • Maintain training systems, course listings, and online learning platforms
  • Support compliance with accreditation and certification requirements
  • Ensure health & safety standards are maintained across training activities

Client, Trainer & Office Support

  • Build strong relationships with clients, trainers, and candidates
  • Assist with travel arrangements for trainers where required
  • Support invoicing, purchase orders, and reporting processes
  • Maintain booking systems and follow up on outstanding items
  • Contribute to marketing, proposals, and business development activity
  • Support general office coordination and continuous improvement initiatives

About You

You are someone who brings structure, initiative, and resourceful solutions to a busy environment. You’re confident juggling competing priorities and enjoy working closely with people.

Key skills and experience:

  • Strong administration and organisational skills with high attention to detail
  • Excellent written and verbal communication skills
  • Confidence working with clients, candidates, and internal stakeholders
  • Experience in recruitment support, screening, or coordination (highly desirable)
  • Ability to manage multiple systems and workflows
  • Strong MS Office capability (Word, Excel, PowerPoint, Outlook)
  • Comfortable handling data, invoicing, and basic financial processes

Highly regarded:

  • Experience in training coordination, event management, or HR/recruitment environments
  • Familiarity with recruitment or training platforms (e.g., ATS/LMS systems)
  • Exposure to marketing or business development support activities
